Phi-Lean.ai – True Lean software automation

Independent hotel

Every review read and answered within the day, and recurring problems passed to the right person

Reviews arrive on three platforms, in four languages. The manager answers when he can, the most visible ones first. The comment about the air conditioning in room 12, made three times this month, goes nowhere. Phi-Core prepares every reply and turns reviews into actions.

Target

24 h

target time to answer every review

The scenario

An independent 40-room hotel with a restaurant.

The flow, end to end

This use case, laid out on the Phi-Core architecture.

  1. What triggers it

    • Inbox & messagingNew review notification (Google, Booking, Tripadvisor)
    • Schedule & web watchEvery Monday: the weekly summary
  2. The agents at work

    Phi-Core
    • TriageSorts, prioritises and spots urgency, by your rules.
    • DraftingWrites replies, quotes and reminders, in your tone and your house style.
    • SynthesisCondenses onto one page what matters for the decision.
  3. You validate

The manager approves every reply; negative reviews reach him first.
  4. What comes out

    • Drafts ready to sendReply in the guest’s language and the house tone
    • Tasks & approvalsComment passed to the right team: housekeeping, maintenance, kitchen
    • Briefs & synthesesWeekly summary of recurring topics

Today

  • Reviews are skimmed, across several platforms.
  • Replies come late, in shaky English, or not at all.
  • A problem mentioned three times a month is known to nobody.
  • The manager spends his evenings on it.

With Phi-Core

  1. A guest leaves a review in German: perfect room, but noisy air conditioning.
  2. The triage agent identifies the language, the rating, the topics (room, air conditioning) and the urgency.
  3. The drafting agent prepares a reply in German, in the hotel’s tone; the manager approves it in one click.
  4. The air-conditioning comment goes to the maintenance lead, with the room number when the guest gave it.
  5. On Monday, the synthesis agent shows the recurring topics, and those that are improving.

What we look at first

Before plugging anything in, we spend time with the people who do this work. That is where most of the value lies: a well-understood flow automates simply; a poorly understood one automates badly, whatever the tool.

  • What really matters to your guests: what they take for granted (clean towels) and what delights them (the chocolate on the pillow).
  • Who handles what: housekeeping, maintenance, kitchen, front desk.
  • The house tone, written down in black and white.

What changes

  • A reply to every review, in the guest’s language.
  • Recurring problems seen, and therefore fixed.
  • A manager who gets his evenings back.
  • An average rating that better reflects the real quality.

Plugged into your tools

The hotel’s mailbox (which receives the platforms’ notifications) or its review management tool, the task tool or team messaging. The approved reply comes ready to paste on the platform.

Safeguards

  • No reply is published without the manager.
  • A review that mentions an incident (health, safety, dispute) is escalated to him without a prepared reply.

Does your flow look like this one?

Describe it in a few lines: we will tell you where we would start, and what we would look at first.

Typical scenario, built to illustrate Phi-Core; it is not a client reference. The targets shown are design goals: yours are set during the diagnostic, from your real flow.

Which of your flows deserves to be automated?

Thirty minutes is often enough to spot the flow that will pay back most, and what needs fixing before any AI is plugged in. No commitment.
